Data Formats

This question arises in various areas of a system. In what format should data be managed—for example, XML? Is this format also suitable for downstream processes and use cases, or are there alternatives that offer better performance, such as JSON? Sometimes tools specify their own format, such as XSL-FO, WordML, or HTML.

JSON—the new XML?

JSON (JavaScript Object Notation). A format optimized for processing with JavaScript. It meets the requirements of information systems in many ways and thus shares many characteristics with XML:

  • Content and structure. No layout. Plain text file.
  • Die The rule-based approach enables complete standardization and automation of downstream processes.
  • Die The lack of a fixed layout allows for output to a wide variety of media and/or layouts. This guarantees consistency, including compliance with CI guidelines.
  • Changing the layout, adding additional media and/or layouts… all possible at any time without modifying the underlying data.

To begin with, neither format is inherently superior to the other. The right choice depends on the intended application.

  • JSON files with the same information content are (still) smaller than those in XML format. JSON is therefore increasingly replacing XML in protocols and APIs.
  • Its connection to JavaScript makes JSON the ideal format for web applications.
  • JSON can also be validated against a schema, though with some limitations, such as checking references.
  • JSON is rendered via HTML, which limits the ability to create high-quality layouts. Furthermore, there is no single, standardized technology for JSON comparable to XSLT for XML.
  • Requirements such as highly hierarchical structures, document-oriented design, and the use of namespaces tend to favor XML.
  • Manually editing JSON requires different tools than those used for XML. Open-source solutions are available, and libraries make it easy to develop custom applications, especially as web applications.

Converter

Converters are at the heart of all processes that make data usable once it has been captured. There are a wide variety of technologies available for converting source data into other formats, depending on the format, performance requirements, or the system performing the conversion. Even creating a PDF from XML is ultimately a conversion (via XSL-FO or HTML with CSS). The result of a conversion can only ever be as good as the design of the source data allows.
